SUMMARY

Our client is hiring a PA to Director to join the team.

A suitable candidate should be a motivated and multi-skilled individual that meets the requirements of the role.

DUTIES TO INCLUDE

  • Extensive and complex diary management including arrangement of meetings, acceptance/declines and acting as a ‘gate keeper’ to meeting requests, ensuring adequate time allocation/travel time for meetings.
  • Taking a proactive approach to managing the Director’s time efficiently and intuitively, understanding the Director’s priorities and actions for the weeks and months ahead.
  • Booking internal and external meetings and liaising with the relevant teams to ensure an agenda is circulated and meeting rooms are prepared beforehand, including collation of relevant information packs to be sent out in advance of meetings. When required, providing detailed briefing notes prior to meetings.
  • Arranging and preparing for meetings, including potential minute taking at meetings to support the corporate function of the business.
  • Booking and arranging luxury travel, transport, accommodation for the
  • Director and his family, and support with itineraries, events, credit card reconciliation and medical appointments.
  • Inbox management as required, including prioritising correspondence, drafting emails and flagging urgent emails for response.
  • Arranging corporate social events including lunches and dinners.
  • Basic property management such as liaising with contractors and suppliers.
  • Taking the initiative to identify and resolve problems as they arise and working collaboratively with other functions of the business to facilitate the smooth running of the business and wider family arrangements.
  • Create PowerPoint slide presentation for data and information provided
  • Work on admin projects as and when requested
  • Creation and management of key reports and processes: collate appropriate information and create agreed reports / summaries for the leadership team to support areas such as negotiator leagues, income reports, branch review data, KPI performance, expense reports etc.
  • Acts as an ambassador for the Director and Nova International: a role model for the Nova International values, building strong and effective working relationships with all internal and external stakeholders

QUALIFICATIONS & EXPERIENCE

PERSONAL ATTRIBUTES AND COMPETENCIES

  • Interest in PA/EA role
  • Extremely well-organised and proactive with an ability to work independently.
  • Able to communicate fluently with third parties and the senior leadership team across the business (both verbally and written).
  • Extremely well presented and polished.
  • Proficient in all MS Office programmes.
  • Proven diary management skills.
  • The ability to work well under pressure, always employing emotional intelligence with discretion and confidence.
  • Excellent organisation, prioritisation and time management skills with a strong attention to detail
  • 50 wpm desirable not essential

Location: Remote working

Length: 6 weeks to 6 months
